WestArk Horse Show Association Meetings
WHSA urges it’s members to actively participate in the club wherever possible and wants members to be aware of what is going on with the club at all levels. Upcoming meetings and minutes from past meetings will be provided below in a timely fashion. The WHSA executive board strongly recommends that members take time to familiarize themselves with the information provided. The officers and members of the board are here to represent you, the member, so please contact any of them with questions, concerns, ideas, or just to thank them for being willing to put the hard work in that keeps WestArk Horse Show Association an active presence in the community.

General membership meetings
The annual WHSA general membership meeting is held in conjunction with the Year-end Awards Banquet to elect the Board of Directors and officers for the Association. General membership meetings are open to the public, but only current WHSA members may actively participate in the business of the meeting.

Special meetings
Special meetings may be called by the President, a majority of the members of the board, or upon written request of 25% of the voting membership. Ten days prior written notice required to all members of the Association. Notice may also be posted on the WHSA website and facebook page. Only current WHSA members may attend and actively participate in a special meeting unless the nonmember is necessary to conclude the matter at hand.
Board of Directors Meetings
The annual meeting of the executive board (comprised of the officers and board of directors) is held in November or December to prepare for the upcoming year. The President or a majority of members of the board of directors may also call executive board meetings as they deem necessary to handle the affairs and business matters of the club. 10 days prior written notice will be given to all members of the executive board for all executive meetings. Notice may also be posted on the WHSA website and facebook page. Current WHSA members may attend, but not actively participate in an executive board meeting unless recognized to do so by a member of the executive board in attendance. Nonmembers may be called upon and allowed to attend if the nonmember is necessary to conclude the matter at hand.
At the President’s discretion an executive session may be called to address issues involving privileged information and matters of a private nature. These sessions are generally closed to all non-executive board members and to all nonmembers except in instances where the member or nonmember is considered necessary to conclude the matter at hand.
